Administration Assistant (Remote – Sydney/East Coast Australia)

We are seeking a proactive and highly organised Administration Assistant to support our operations, finance, and leadership teams. This is a remote role for candidates based in Sydney or elsewhere on Australia’s East Coast (AEST/AEDT time zones).

What you’ll do
- Provide day-to-day administrative support to operations, finance, and executive stakeholders
- Manage calendars, coordinate meetings, prepare agendas, take minutes, and track follow-up actions
- Prepare and format documents, proposals, reports, and client correspondence with exceptional attention to detail
- Assist with travel and accommodation bookings for crew and stakeholders; prepare itineraries as needed
- Maintain accurate records and data entry across our CRM and document management systems
- Support compliance-related administration (e.g., keeping certifications and policy documents up to date)
- Process supplier invoices, expense claims, purchase orders, and basic reconciliations
- Monitor shared inboxes, triage enquiries, and provide timely, professional responses
- Liaise with vendors and internal teams to keep tasks moving and resolve issues promptly
- Contribute to process improvements and the creation of clear SOPs
What you’ll bring
- 2+ years of administration experience (aviation, travel, logistics, or professional services advantageous)
- Outstanding organisation, time management, and follow-through across multiple priorities
- Clear written and verbal communication with a customer-first mindset
- High accuracy and attention to detail when handling documents, data, and numbers
- Proficiency with Microsoft 365 or Google Workspace; familiarity with CRMs and accounting tools (e.g., Xero or MYOB) a plus
- Comfort working remotely with reliable internet and strong digital productivity skills
- Unrestricted Australian working rights and ability to work standard AEST/AEDT hours

- Location: Remote within Sydney or the East Coast of Australia (NSW, ACT, VIC, QLD, TAS)
- Employment: Full-time (flexible start/finish within core AEST/AEDT hours)
- Compensation: Competitive salary + superannuation, commensurate with experience
- Start: As soon as available
